Overview

Being established worldwide, and having grown in sales in the Canadian market, we are looking for a top-notch Project Coordinator to join our Vancouver office. The Project Coordinator serves as the focal point for processing, tracking and distributing project deliverables, verifying the project insurance, bonds, lien releases, other contractual obligations are fulfilled, and providing technical support to the Project Manager as needed. Supports the Project Managers and Project Engineers as a force multiplier to bridge the technical gap between the Project Manager and Project Administrator. This position will require the successful candidate to work on-site at the airport and within our Vancouver office.

Responsibilities

  • Works with Project Team to identify and produce project specific technical and commercial documentation and templates as outlined in the project plans.
  • Coordinates with all departments to assist the Project Manager with project execution.
  • Coordinates with the project team members to ensure that the contents of submittals meet contractual requirements.
  • Interfaces with client in a coordination role.
  • Establishes and enforces standards and processes for project administration.
  • Responsible for monitoring all parties for compliance to project documentation processing like:
    • Filing
    • Tracking
    • Distributing
    • Taking Meeting Minutes
  • Responsible for maintaining all project log files to ensure accuracy of the document status and provide reports. Typical project logs files are:
    • Submittal Logs
    • Request for Information (RFI) Logs
    • Change Order Logs
    • Risk and Opportunity Matrices
    • Document Lists and Logs
    • Site Reports
  • Oversight of log management and process compliance for document management system.
  • Production and updating of intranet project articles.      
  • Secondary point of contact for all departments in the absence of the Project Manager.
  • Implementation and training of new processes and best practices for operations department.
  • Direct line between all departments supporting project execution.
  • Verifying compliance with schedule milestones and due dates for submittals from engineering; sending reminders and communicating any potential delays ahead of time.
  • Other support as required including, but not limited to:
    • Site Badging Administration and Returns.
    • Payment Application Status Verification.
    • Site Logistical.
    • Purchase Order Request (POR).
    • Coordination of delivery of end user documentation and training.
  • Supervision of project administrators as required.

Qualifications

Basic Qualifications:

 

  • BS/BA degree in Engineering or Business Administration.
  • 2-5 years’ experience in project administration and coordination.
  • Highly proficient in MS Word, Excel and PowerPoint.
  • Willing and able to travel on site 30% of the time.

 

Preferred Qualifications:

 

  • 2-3 years’ experience using project scheduling software (MS Project, Primavera P6) as part of an integrated corporate system.
  • Background in Material Handling/Conveyance or Engineering Environment.
